Minutes of the seventeenth meeting of the Shoreham Parish Plan Group, held at badgers mount memorial hall on Thursday 15th January 2004

Minutes of the last meeting.

The minutes were read, agreed and signed.

Matters arising from the previous minutes.

In accordance with the course of action agreed at the previous meeting the printing contract was given to SDC. The printing of the questionnaires has now been completed and an invoice has been received. This has been forwarded to the

Treasurer. It was noted that no VAT was charged. The total sum was £1150.

The chairman and secretary attended a meeting of the WHRA, but unfortunately after much discussion the WHRA felt that they could not assist in the distribution and collection of the questionnaires.

Nick reminded the committee that the sponsor's logos should be included in our final report, or in any letters sent in connection with the questionnaire.

Nick also proposed that the "Black Adder" flyers be distributed with the questionnaires. This was agreed

Treasurers report

Nick Walker informed the committee that the current accounts show a balance of cash in hand of £1355:00. We had the bill from SDC for £1150 for printing, and the account from Mr Woodger for setting up the questionnaire for £220. That would have left us low in funds. However Nick had agreed with the Countryside Agency that they would advance a further £1,370 to meet these costs, making a total grant to date of £2,870. The total agreed grant from the Countryside Agency is £5,000; this would leave approximately £2,000 in hand.

Nick also requested members of the committee to complete timesheets as appropriate, and to forward them to him.

Arrangements for the distribution and collection of the Questionnaire.

Envelopes It was agreed that envelopes would be available so householders could place completed questionnaires in envelopes to preserve confidentiality where required.

Target dates for collection completed questionnaires to be collected by 14th February 2004, Back to Secretary by Sat 28th February.

Badgers Mount representatives will arrange for the distribution and collection in their area. If completed questionnaires are not available on the first collection visit, then an envelope will be provided and left with a request to deliver the completed questionnaire to the Badgers Mount Post office

East Hill area. John Bovington agreed to distribute and to collect the questionnaires in this area. John will be provided with addressed return envelopes, and he will purchase stamps as necessary.

Shoreham A distribution schedule was prepared as set out below.

Nigel Brittan Twitton, Shoreham Road, Filston Lane, and the area around Home Farm, Water Lane (If this gives difficulties please consult with John Keates.)

Brenda Gass Boakes Meadow, and right hand side of Church Street from Boakes Meadow to the High Street

Ann Smith Bowers Road

William Alexander Castle Farm Road and Redmans Lane.

Sheila Nash Cockerhurst Road, Crown Road, MillLane.

Sylvia Poynter Darenth Way, Chapel Alley, Church Street, from entrance to Darenth Way to Church. (On both sides of road including the George.)

Nick Walker Forge Way, Palmers Orchard

Joy Sanor High Street (Two Brewers side)

John Keates High Street (shop side) almshouses, old police house and new house.

Sarah Parkes Mesne Way, Mildmay Place.

Mark Lintell Shoreham Place

Pat Williams Shoreham Place Stables

John and Sylvia Station Road, Church Street, (remainder)

Well Hill It was decided to make a group delivery and collection. The group, John, Sylvia, Nick, Sheila, Ann, John and Mark would meet at The Kent Hounds at 2 O'clock on Saturday 21st January

Other action items

Obtain supply of envelopes, stamps, and sticky labels for envelopes

Prepare lists for those delivering questionnaires

Note to go with envelopes where householder was out on second visit.

Deliver list, flyers, envelopes and questionnaires to distributors

Investigate possibilities of publicity by local newspapers or local radio.
