Minutes of the ninth meeting of the Shoreham Parish Plan Group, held on Monday March 3rd 2003 at Shoreham Village Hall

The minutes of the last meeting
These were amended where necessary, approved and signed.
Matters arising from the previous minutes
As agreed Sylvia had collated the responses received before this meeting,
It was later agreed that these would be passed to the subgroup analysing the responses.
It was obvious that several small items had been identified that could easily be addressed without being included in the action plan.
It was agreed that the secretary would write to the Parish Council asking for a larger litterbin to be installed next to the play area on the recreation ground, and that he would also write to the Post Office requesting that a post box be sited at Cockerhurst.
Timesheets
The treasurer stated that some timesheets were still outstanding, it would be
Helpful if anyone who has not completed a timesheet could do so and submit it to the Treasurer.
It was also noted that everyone would have to submit timesheets at regular intervals, and that the treasurer would provide the blank forms.
Correspondence
The Chairman read a letter from the PCC giving their response to the letter sent out to all village organisations earlier.
Treasurer's report
Nigel Brittain read the Treasurers report in the Treasurers absence.
Nigel confirmed that the £1500;00 draw down requested from the Parish Council had been received and that we had a balance of approximately £1700;00 in the bank, and all outstanding bills had now been paid. An updated set of accounts would follow shortly.
Feedback
Sylvia reported on contacts with Gerry Smith at Cockerhurst, The Craft Shop and the four village pubs.
Nigel reported on the contact with the school, and was hoping for a response shortly.
Nigel also gave a verbal response from the Shoreham Village players covering the desirability of a hearing loop in the Village Hall.
Sheila reported on responses from the over 60's who seemed pleased with things as they were
Jan reported on the response from the younger people and had set up a meeting at The Two Brewers on Sunday 9th March.
Sylvia agreed to provide three posters advertising this event.
Badgers Mount reported that they had received 100 replies to their mail shot, 50% of the recipients had responded. They will keep the pressure on!
Phil tabled a detailed statistical breakdown of the Parish taken from the census returns. And an analysis of the people attending the two pub meets.
Next steps
It was agreed after some discussion that in order to keep to our timetable Nigel and Jan would review all of the responses received to date together with those received in the next few days so that they could be grouped under the appropriate headings to aid the preparation of the questionnaire.
Colin offered to photocopy Badgers Mounts results and pass them to Nigel as soon as possible
It was agreed that Nigel and Jan would prepare a report for discussion at the next meeting scheduled for 3rd April 2003.
Sheila had prepared a checklist, which she proposed to use on a visit to the Mildmay Cottages. A letter had already been delivered to each house to notify them that someone from the Parish Plan Group would be visiting them to obtain their views.
