Minutes of the eighth meeting of the Shoreham Parish Plan Group, held on Monday 27th January 2003 at Shoreham Village Hall

The agenda was circulated.
The minutes of the last meeting were amended where necessary, approved and signed.
Matters arising from the previous minutes
Colin stated that due to pressure of work he was unable to be part of the consultation group. He was thanked for the supply of large envelopes
Timesheets
After a brief explanation as to why they were necessary, and explaining that no money would be paid to the volunteers, timesheets were collected from all present, and handed to the treasurer
Correspondence
Any correspondence received was a response to the letters and a flyer recently sent out and was dealt with in more detail later in the agenda.
Treasurer's report
This was circulated.
In order to pay a supplier Nick pointed out that he would need to obtain some of the promised money, and would take immediate steps to obtain this [an updated treasurers report was distributed on 28/01/03]
The Parish Council had not been apple to approve a further draw down of cash at it last meeting due to too few council members attending because of inclement weather
Colin agreed to communicate with the printer to confirm that he would be paid shortly.
Feedback from local meetings and letters
Phil tabled the Well Hill consultation of the 13th January 2003-02-03 together with the age and sex profiles of those attending
It was agreed that the feedback received was to be collated as far as possible by Sylvia and Nigel in time for the next meeting.
We were very concerned that we did not have a representative response from parishioners under the age of forty.
It was agreed that John [Lyons] would insert a piece in the gazette, if this was possible, to try to raise some greater response from this age group
Action taken.[A piece was printed in the latest edition of the gazette, and hopefully a piece in Ken Wilson's column in the Chronicle. A letter was also written to the Editor of the Chronicle, together with a copy of the flyer in the hope that we can get an article in the Chronicle.]
It was also agreed that Jan would seek some of the younger staff members in the village shop, and that Sylvia would speak to Lorna Robinson to see if she could collect any opinions
Next steps
It was agreed after some discussion that in order to keep to our timetable all responses must be ready for discussion at the March meeting
It was also agreed, after a vote, that a questionnaire would be produced and would be ready by mid April at the latest. In order to help with this Nick said that he would obtain copies of the questionnaires issued by other Parishes in Kent.
Any other business.
The sub-group consisting of Mark, Jan, Sheila and Mike are to meet at a mutually agreed time. They will consider how to reach all groups within the Parish
