Minutes of the seventh meeting of the Shoreham Parish Plan Group held
on Monday 9th December 2002 at Shoreham Village Hall at 8pm.

Minutes of the last meeting These were approved and signed by the Secretary in the absence of the Chairman..
Matters arising There were no matters arising.
Resignation of Chairman
As Sheila had resigned as Chairman the secretary took the meeting until a new Chairman was voted in. It was agreed to postpone the election of a new chairman until later in the meeting in the hope that the latecomers would have time to arrive.
Parish Plan workshop Nick gave a report on the Parish Plan workshop held on 23.11.2002 at Harrietsham Village Hall {detailed notes attached} The meeting was attended by Marian, Nigel and Nick. Marian said that quite a lot of money was available, and emphasised that we could ask for it before finishing any part of the plan.
Sevenoaks District Council Phil pointed out that the Sevenoak's Community Strategy would be produced before our action plan was ready. It was agreed that we would keep Sevenoaks District Council informed of our progress.
Phil said that Ms.Eleanor Cross at Sevenoaks District Council's regeneration unit has been notified that we have started work on our plan, and she also should be kept informed of our progress.
The consultation meeting, held in Shoreham Village Hall on Dec7th. was very successful, although several strands of the village community were notable for their absence. Some discussion then ensued as to how we could reach all sections of the community. Sheila and Jan were warmly thanked, for all their hard work in setting up this event, as were all the other members who attended. Sheila will prepare a report on the issues raised by those attending
the meeting. [This had now been received by E-mail]
Report on the progress of the flyer. We had obtained permission to use the photograph on the front cover for a fee of £55, and the flyer was now in its final form and would be arriving from the printers in the next couple of days. Colin had very kindly provided the paper free. He was thanked for this, but will be asked to tell the treasurer the value of his gift, for the records
It was agreed that Nick would obtain as many laminated copies of the flyer as possible for £50. These will be used for display in public places in the parish.
It was also agreed that Nick would supply Phil with 200 copies of the flyer for distribution in the Well Hill area, and Trevor with 250 copies for distribution in Badgers Mount. Marian and John Bovington will distribute as many copies as are required in East Hill and Twitton.
Sylvia agreed to liase with the production team of the Shoreham Gazette to see if the flyer could be inserted in the January issue. If they agree to the insertion a donation of £15 will be given to the Gazette
Treasurer's report. We currently have £290.86 in our account.
Nick handed out time sheets and requested all members of the committee to complete them up to and including the next meeting, and hand them back to Nick then.
After some discussion it was agreed that we would ask the parish Council to make over to us the sum of £1500 from the Countryside Agency grant. Nick will write a formal letter to the Clerk of the Council requesting this.
Election of new Chairman
Nick was proposed by Nigel and seconded by Mark.
Sylvia was proposed by Marian and Seconded by Phil.
There was a secret ballot. Trevor acted as our teller. Sylvia was elected by 7 votes to 4. There were no abstentions.
Election of new Secretary
John Lyons was proposed by Joy and seconded by Norma he was elected unanimously.
Treasurer Nick agreed to remain as our treasurer.
It was agreed that Sylvia would deliver a card conveying our thanks to Sheila for all the hard work she did as our first chairman. Satisfaction was expressed that she would be staying on the committee.
Letter A letter has gone out to approximately 30 organisations in the Parish, and a response has been requested on or before 21st. January 2003. Phil suggested that a flyer be sent to all the organisations, which had received the letter, early in January, as a reminder. Sylvia agreed to see that this was done.
Meeting with Headmaster of Village School Phil reported that he would be meeting the Headmaster of the Village School in the near future. It was agreed that he would discuss the question of getting the children involved, and that if the Headmaster considered it to be appropriate a prize or prizes could be offered.
Demographic distribution of Parish In order to help us reach other groups within the Parish Phil will summarise the demographics provided by S.D.C. and present the summary at the next meeting.
Subgroup It was agreed to form a small sub group to consider reaching all groups within the Parish. This will be headed by Mark, who will work with Sheila, Jan, Colin and Mike, subject to there agreement..
Any other business Phil will be holding a consultation at The Kent Hounds on Monday 13th. January 2003.
It was agreed that Nick would ensure that our web site address was displayed on our stationery.
It was also agreed that the matter of how we formulate questions be placed on the agenda for the next meeting.
The date of the next meeting is Monday 27thJanuary 2003 at 8pm at Shoreham Village Hall.
