DRAFT MINUTES OF SPPG MEETING AT BADGERS MOUNT MEMORIAL HALL ON MONDAY 14 OCTOBER 2002

The meeting began at 8.05pm.

Present: Cllr Sheila Nash (Chair); Cllr Phil Hobson, Mr John Lyons, Mrs Olive Came, Mrs Rita Inwood, Mrs Norma Payne, Mr Mark Lintell, Ms Jan Iley, Mrs Joy Saynor,

Mrs Marian Talbot, Mr Nigel Britten, Mr Colin Merritt, Mr Trevor Simmons, Mr Nick Walker.

Apologies: Cllr John Bovington and Mrs Sylvia Lyons

1. The Minutes of the last meeting were approved, and duly signed by Chair.

2. Matters Arising: The report written by Sylvia Lyons which comprised ideas submitted by members of the SPPG was read out. (Copy attached). Sylvia to be asked to circulate report to all members.

Mark said that: based on his wide-ranging experiences, it was essential to flag up to residents important issues rather then offer them a blank piece of paper; we need to excite interest before discovering what the issues are; then arrange meetings; all leading to the eventual Questionnaire. Badgers Mount are already clear how to interact successfully with their residents .

Reference a letter drafted by Sheila Nash and Jan Iley following a meeting with Mark Lintell:

A MOTION was passed: The draft letter be finalised by the Publicity Committee and distributed to all identified organisations throughout the Parish. . As well as soliciting the views of the memberships, it was suggested that the letter contain an invitation to individuals to offer their services/skills to the SPPG. It was agreed that this letter would be sent out independently of other publicity material.

Much general discussion ensued and it was agreed that we need many diverse methods of publicity. .After a meeting with PR/Publicity experts (Mr Jim Morse from Well Hill and Graham Parker from Shoreham Village) the Publicity Committee would present to the group a draft "glossy" flier for distribution Parishwide.

As per Item 10 of this Agenda, it was agreed that a sub committee of Shoreham Village members of the SPPG would meet in order to facilitate both specific Village activities as well as wide-ranging consultations throughout the Parish. A meeting was arranged for Sunday 27 October at 6 pm at Sheila Nash's house. BUT PLEASE NOTE CHANGE OF VENUE TO JAN ILEY'S HOUSE - 18 CROWN ROAD. All available Shoreham Village residents of the SPPG to attend.

3. Mrs Olive Came, Mrs Norma Paynes, Mrs Rita Inwood, Mr Colin Merritt and Ms Jan Iley were all formally welcomed onto the SPPG.

4.There were no new members to welcome.

5. Nick Walker advised that he had received a letter from the CIRK agreeing to a grant of £750 which we had to accept formally by the end of October. Nick presented a suitable letter of acceptance which Sheila Nash signed. Phil Hobson had advised him that the Countryside Agency had approved our request for a £5,000 grant. The letter will be signed on Thursday and sent to the Parish Council with which a cheque for 25% of the grant should also be included - Nick to check with the Clerk. All SPPG correspondence must now therefore include the Countryside Agency logo. The matter of the SPPG logo still needs to be actioned.

6. Mark then explained the newly drafted Timetable which now matched more closely the KRCC advice. This is a very useful document (attached) which will keep our minds focussed!

It was agreed that Chair and Secretary would draw up list of venues rotating between Shoreham Village Hall, Badgers Mount Memorial Hall and Fox and Hounds at East Hill. the 2nd Monday of every month in order to keep in touch with Parishwide progress, as/if required. Sylvia to be asked to fix the diary and distributed all members with dates/venues in due course.

7. It was suggested that members complete their Skills List, and detail any personal contacts who might wish to be involved. Nigel Britten kindly agreed to become the SPPG Liaison Officer in regard to local government bodies and other relevant organisations in order to advertise SPPG's existence, so that mutual benefit might ensue. It was agreed that he would invite Kathy Bugden our Field Worker from KRCC to attend either the 11 November meeting at Badgers Mount (HOWEVER IT HAS SUBSEQUENTLY PROVED UNAVAILABLE, SO VENUE CHANGED TO HOME OF JOHN & SYLVIA LYONS) or the 9 December meeting in Shoreham Village Hall, which has already been booked.

8. Phil Hobson reported on his 'Post it Notes' session at the Fox & Hounds on Friday 11 Oct which John Bovington also attended. He circulated a list of the views and issues which a range of residents (both young and old) put forward that evening. The list would be circulated to all Members by Sylvia (attached). Phil felt it had been a positive exercise and proposed to hold another one in due course. He will write a follow-up letter to be posted in the pub. Some items on the list Phil had identified as immediately actionable, such as a post box to be relocated. Phil would carry this forward (wearing his Parish Council hat).

9. Phil Hobson advised that for a variety of reasons it would not be possible to hold similar 'Post it Notes' evenings in Well Hill pubs until early in January.

10. The Shoreham Village sub committee had been agreed upon earlier in the meeting.

11. Badgers Mount members felt that they had already said sufficient about their progress at this time, having shown us their initial "teaser" to which they would be attaching a glossy KRCC fact sheet. They would report progress at the next meeting.

12. It was agreed that the full Approved Minutes of every SPPG meeting would be posted on the web page and that Phil Hobson would do this, at no extra cost beyond the initial set-up charge.

13. The Motion "To Change the group's name from Shoreham Parish Plan Group to Parish Plan Group" was Defeated.

14. It was generally agreed SPPG would not formulate a response to the SDC request for input for their District Community Plan Consultation.

15. It was agreed that the next SPPG meeting would take place on Monday 11 November. HOWEVER THE VENUE HAS NOW MOVED TO THE HOME OF SYLVIA AND JOHN LYONS: DARENTH LODGE, DARENTH WAY at 8 pm.
